1. REGISTRATION:
a. Dream Maker
Dream Maker belongs to a select group of individuals who commit to raise a minimum of Rs.1.5 Lakhs through pledges for the charity/cause of his/ her choice. The individual has to fill in the Dream Maker registration form and make an upfront, non-refundable contribution of Rs.15,000.00/-( Rs. Fifteen Thousand only) to be a Dream Maker.

Where the Dream Maker manages to raise Rs. 7 Lakhs & above, the following percentage will be charged by Concern India Foundation as administrative and processing costs:

The cheque for Rs. 15000/- will be in favour of Concern India Foundation.

b. Dream Challenger
Dream Challenger is a higher version of the Dream Maker category where an individual is challenging his/ her own commitment to charity. Under this category s/he commits to raise a minimum of Rs.3.5 Lakhs through pledges for the charity/ cause of his/ her choice. The individual has to fill in the Dream Challenger registration form and make an upfront, non-refundable contribution of Rs. 25,000.00/- (Rs Twenty Five Thousand only) to be a Dream Challenger. Admin costs retained by Concern India Foundation will be Rs. 25,000/- (Rs. Twenty Five Thousand only)

Where the Dream Challenger manages to raise Rs. 7 Lakhs & above, the following percentage will be charged by Concern India Foundation as administrative and processing costs:

c. Corporate Challenge
Registration: Corporates can opt for 2 kinds of team sizes, details of which are given below –

  1. Rs. 2.25 Lakhs for 25 members
    • Rs.1,97,000 will be given to thecharity or cause and Rs. 28,000 @12.5% will be retained by Concern India Foundation as administrative expenses.
  2. Rs.3.25 Lakhs for 40 members
    • Rs.2,84,000 will be given to thecharity or cause and Rs.41,000@12.5% will be retained byConcern India Foundation as administrative expenses.

Please note: From the total money raised by the Corporate Challenge team members, 5% will be retained as the admin and processing fee by Concern India Foundation.

Formation of Team/s: Once the company has registered its Corporate Challenge team/s with Concern India Foundation, the HR head or any other person as may be appointed by the corporate (Key Facilitator), will be provided with 2URL links. The first URL link will be an administrative link to be retained by the Key Facilitator. The second URL needs to be circulated internally within the employee base/or to employees chosen to be part of the team, so as to facilitate the process of filling in of the individual event application form by the team members. The employees accessing the link will be required to fill in the form with all relevant mandatory fields and submit the same. Once all team members have filled in and submitted their application forms, the Key Facilitator needs to approve the entries on the administrative link. The Key Facilitator also needs to choose a Team Leader from amongst the team members online. Only after such approval will entries be accepted by Concern India Foundation.

The same process described above needs to be followed by companies who may be fielding multiple teams.

Post registration process, of the Corporate and individual team members, the company needs concerned needs to submit a single cheque in favour of "Procam International Ltd – ADHM" for the consolidated event entry fees of all its team members. The amount of the cheque will depend upon the race category chosen by the team members. For e.g. for team 25, if there are 18 people running the Great Delhi Run (6 kms) and 7 running the Half Marathon (21 kms), then the event entry fees cheque will be for Rs.12,100 (18 runners x Rs. 400 + 7runners x Rs. 700).

d. I Pledge
'I Pledge' will comprise of everyone else who runs for a cause and raises pledges of any amount. A pledge kit, which will help you raise funds for your chosen charity/ cause, can be downloaded free of cost from www.concernindiafoundation.org (Link: Run for a cause).

Registration Details: Rs. 400/- for the Great Delhi Run (6 km) and Rs. 700/- for the Half Marathon (21 km). From the total money raised by the I Pledger, 7% will be retained as the administration and processing fee by Concern India Foundation.

The I-Pledge category will have the facility to raise donations online this year; the details are given in Annexure 1.

2. SELECTING A CHARITY:
a. How do I choose a cause?
Simply think about what cause is closest to your heart, and select the specific charity from the list provided on our website www.concernindiafoundation.org

 We will keep updating this list as and when more NGOs register with us. Concern India Foundation, the official charity partner of the event, offers you a wide range of causes that help the most vulnerable sections of the society to lead a life of dignity.

Which are all charities that I can raise pledges for?
Information on Concern India Foundation charities listed for the event is available on www.concernindiafoundation.org. The site gives you information on the charities’ organizational profile, financial, governance structure, stories of change, donation options as well as contact information. Additionally, some charities have their own website (the links are listed on www.concernindiafoundation.org. Only NGOs listed on the website are authorized to raise money through the Marathon.

The additional feature added this year is to bring the charity you associate with on the list of registered NGO's for this year's ADHM 2011 chapter.

In order to do so, we have introduced a section where there will be an option to send an invite to the charity you wish to support in case if it is not listed in the record of participating NGO's. Once we receive a request the same will be communicated to the respective organizations.

b. which charity can I run for?
You can run for any charity of your choice but all the amounts raised by you will first come to Concern India Foundation and then will be disbursed to the charity or cause of your choice. All NGOs that want to raise pledges as part of the Airtel Delhi Half Marathon have to register themselves with Concern India Foundation, the official Charity Partner of Airtel Delhi Half Marathon 2011.

This is done by filling out a simple NGO Participation form which is available on our website. This registration for charities is purely for the duration of the marathon. This will ensure the legitimacy of all NGOs who will be participating.

c. In case the charity of my choice has not registered with you for the event, what do you suggest I do?
Please ask them to email / write to us expressing their interest in participating in the event. We request that the contact information be clear, updated and legible. We will then send them a participation form, which they will need to fill and send back to us.

We would recommend running for only one charity for a variety of reasons, the most important being that you will then make a tangible difference to that one cause. Also, our online systems are designed to support only one charity per runner.

If you are undecided which charity you wish to run for, simply write the cause you wish to support on the form enclosed, against “name of the charity”. Concern India Foundation will ensure that a charity that has an urgent need for funds within that cause will get the money you have raised. The charity that we will choose will be from among the ones that are listed on www.concernindiafoundation.org .

a. I want to run for a cause and raise money how do I do this?
You can raise money by approaching colleagues, friends and family to support your run through pledges. All you need to do is ask. Remember you are NOT asking for yourself, but to make a difference to someone who is less privileged.

b. What is pledge raising?
Pledge raising is when you ask friends, family and colleagues to support your run by donating money to the good cause you have chosen. Just the way you raised money when you were in school for various causes like aged, blind etc, people supporting you have the option to pledge as much or as little as they want to.

c. What are the modes of collection I can use to raise pledges?
You can collect pledges using the following ways:
- Receive Cash as pledge amounts from your supporters (family/friends/colleagues). And submit a single cheque for all the cash donations received.
- You can also receive your pledge amounts by cheque/Demand drafts in favour of 'Concern India Foundation'.
- Personalised online page will be available for all individuals looking at raising pledges for a charity/cause.

The annexure in the pledge kit gives step wise instructions for individuals to create their online page.

Please note: it is a good idea to retain a photocopy of the pledge summary sheet before you turn all the pledges to us on or before 16th of December 2011, for your reference.

d. Can I collect pledges in cash?
Yes, you can. However, when turning in the amount to Concern India Foundation, we request you to issue a cheque in favour of 'Concern India Foundation' for the total cash collected.

e. What support will Concern India Foundation give me towards pledge raising?

To facilitate the process of pledge raising for individuals Pledge Kits have been put online and can be downloaded free of cost. The kit contains a pledge sheet & a booklet on "How to raise pledges" and sample letters and emailers to send to donors, and more.

The annexure in the pledge kit gives step wise instructions for individuals to create their online page.

Additionally, Concern India Foundation will provide a receipt and tax certificate to each person who contributes to your campaign (applicable to amount equal to or more than Rs. 100/-).


*There are only 100 Online Donation Pages available for individuals on first-come-first basis.
**Online fundraising page / pledge page on www.concernindiafoundation.org will be in operation from 22nd of August 2011.
***Please note that for the I Pledge category the online page will be operational only after the official launch of the ADHM 2011.

3.PLEDGE RAISING:
f. What percentage of the money raised will actually go to the charity?

OPTION DESCRIPTION DETAILS
i. Rs.2.25/- Lakhs for 25 members Rs.1,97,000/- * will be given to the charity or cause and Rs. 28,000/- @ 12.5% will be retained by Concern India Foundation.

** Please note that other than Rs. 2,25,000/- for team 25 and Rs. 3,25,000/- for team 40 the event registration fee for the 25 individuals/ 40 individuals in a CC Team will go to Procam International Ltd at the rate of Rs. 400/- or Rs. 700/- depending on the race category (GDR/ HM).

(ii) For pledges raised by Corporate Challenge I Pledger’s, actual credit card charges are deducted and Concern India Foundation retains a 5% to cover the cost of processing your pledges. The balance raised goes to the charity of your choice. 
 
(iii) For the Dream Maker category, in order to cover the cost of processing your pledges Concern India Foundation will be retaining Rs 15,000/- (registration amount) + 3.5% of the amounts raised between 7 lakhs to 15 lakhs and 2.5% of the amounts exceeding Rs. 15 Lakhs.

(iv) For the Dream Challenger category, in order to cover the cost of processing your pledges Concern India Foundation will be retaining Rs 25,000/- (registration amount) + 3.5% of the amounts raised between 7 lakhs to 15 lakhs and 2.5% of the amounts exceeding Rs. 15 Lakhs.

(v) In the case of I Pledge, Concern India Foundation shall deduct a nominal amount of 7% of the total pledges raised as the processing charges.

3.PLEDGE RAISING:
g. How long before the event should I start raising pledges?
Begin as soon as you start seeing promotions for the event. That way, people you approach will already be aware of the event. Don’t wait till the last minute though. The earlier you begin raising pledges, the less frantic it will be for you towards D-Day.

h. Should I set myself a target for the amount of pledges I need to raise?
That would be a good idea. Setting a target for yourself will make you more focused in achieving it. You can share that target with people you approach, and ask them to help bring you closer to achieving it.

Before using your pledge sheet its best to make photocopies of the empty pledge sheet so you have more sheets to work with. Or simply download and print more pledge sheets from www.concernindiafoundation.org Remember, the more money you raise, you make a difference to more people’s lives.

3.PLEDGE RAISING:
j. When is the last date to send in my pledge form?

The last day for sending in pledges is 16th December, 2011. Along with your pledge sheet(s) and the pledge summary sheet, please send the cheque(s) for the total amount you have raised to our address. Kindly ensure that the full address of all donors have been properly entered on the pledge sheet, as the same is required by Income Tax Law with effect from April 1, 2006. It'll not be possible to issue 80G receipts to donors without their address details/ PAN no.

 

All cheques should be in favour of ‘Concern India Foundation’.

Create a personalised online pledge page at www.concernindiafoundation.org and you can track your pledges online with us and the donor.


For offline payments, using the pledge sheet that came with your kit would be the easiest way to keep track of all the pledges you have raised which can be downloaded from our website www.concernindiafoundation.org. Remember to update the sheet as soon as you receive a pledge, and make sure you record the full address of all your donors on the pledge sheet, as this is required by Income Tax Law April 1, 2006 onwards.

b. What is the process that is to be followed by people who pledge for my run?

Everybody who gets a link from you, the runner, can click on the link and can register on our website and complete the donation on your pledge page via credit card. During registration, we capture data required for reporting purposes, including nationality and address of your donor. Once the transaction is complete both you and the pledger will receive an email from us within 24 hours confirming the donation.

5. MONEY RAISED
a. Will I as well as my pledgers get tax exemptions?
All donors are eligible for tax deductions u/s 80G of the Income Tax Act, as long as full addresses are provided. Any contributions you or your pledgers make (other than the fee for running the race) are eligible for this.  All foreign and domestic donations will receive a receipt. INR donations will get 80G certificate. Please note foreign donations received can be onward donated to NGO’s with FCRA registration only.

b. Why am I being charged, even when I run for a charity?
No event is ever without costs. There are operational and logistics expenses involved in organizing the charity component of the marathon, in putting together the various schemes that you are able to pick from, and in providing you the appropriate communication materials and support. The charges being levied are only to recover such costs.

  • Online interactive corporate page, a link of which will be on the Concern India Foundation website www.concernindiafoundation.org (Link: Run for a cause) to enable internal communication in the team with online fund raising option.
  • Team Leaders updates/meetings - event update, pledge raising tips, standardized presentations that they can use to motivate their team members, etc. (on request)
  • Separate holding area at the event venue on the race day.
  • Branding at the marquee (standardised for all corporates).
  • Event celebrity visit at the marquee.
  • Event T-shirt s to be given out to the first 50 early birds who have raised submitted a minimum of Rs. 1000/- for their chosen charity (ten days before the race day) to Concern India Foundation.

  • Line up as per roll of honor, determined by the quantum of charity that was raised in the previous year for the first five companies.
  • An invitation to the heads/CEOs of top 3 corporate who raised the maximum the quantum of charity in the previous year, to encourage and motivate their participating team from the Events presentation stage on the race day.
  • Profiles of the Corporate will be put up on the event website and Concern India Foundation website.

8. TIPS TO RAISE PLEDGES
 
Charity Award Structure
Congratulations! You’re about to join thousands of other people in an event for charity. The money you raise through pledges may not seem like a lot to you, but will go a long way in improving the lives of the underprivileged.
Initially, you may feel a bit odd asking people for money. But remember, the money isn’t for you. So be proud of yourself for doing your bit to help. Keep in mind that many people want to do something but just never get around to it.

You’ll be pleasantly surprised to see how many respond very positively to your request. Take a few minutes to read these tips and see your collections jump!
  • Start your drive early.
  • Initially approach people you know well. Interacting with them and seeing their positive response will get you off to a good start and increase your confidence.
  • Make sure you ask as many people as possible; several small pledges can add up to a big amount.
  • Keep sharing your progress with people you’re approaching. For example, say “I”ve already raised Rs.2,600 but my target is Rs.3000. I hope you can help me.”
  • Be knowledgeable about the cause you’re supporting. Donors will respect that you have taken the time to find out how the money is going to help.
  • Remember to say thank you with a smile!
 
WHO TO ASK?
Everyone! Let everyone know that you will be participating in the event and encourage them to support you.

  • Family, in-laws, cousins
  • Friends
  • Co-workers
  • College batch mates
  • Neighbours
 

WHAT TO TELL YOUR DONORS?

  • That any money they give to your cause is tax deductible (for Indian donation only) and they will receive a receipt for it.
That their name will be listed as one of your pledgers on the Concern India Foundation website after the run.
 
HOW TO ASK?

The best way is to ask in person. But since that’s not always possible, here are a few other ways to approach donors.

  • First go through your contact list on your email, phone and your address book and make a list of potential donors. This may take 15 or 20 minutes but it is time well spent.
Now, send out your appeal. You can email, call, or even send text messages. Different people will respond to different ways. Don’t forget your friends and family abroad. They can donate too! And a $20 donation is about Rs.800 for your cause. Refer to our FAQ section on pledge-raising to learn more.

a. What is “Online Donations”?
It is a quick and easy way to collect money for an NGO or charity of our choice. You provide details of why you’re raising funds for a cause close to your heart and use these details to create an Online Donation webpage that your friends and family can visit and donate to through a secure online donation. Concern India Foundation will then transfer the amount you have collected to your chosen charity. Online Donation provides you with a simple and convenient platform to collect money for a good cause.

Once you create the page, you will receive a mail from mentioning the link (URL) for your Online Donation page.

f. How will I know if someone has made a donation on my Online Donation page?
You will receive a notification mail for every successful donation made on your page. Also, your donor will receive a "Thank you" mail from you, that you designed yourself while creating your “online donation” page.

g. Will my donors get a receipt for their donation?
Yes Concern India Foundation will provide an 80G receipt and tax certificate to each person who contributes to your campaign (applicable to amount equal to or more than Rs. 250/-). For donations online. Please bear in mind that even if you have chosen a 35 AC project, you will still be issued an 80G receipts. Foreign donors will be given only receipts and no tax exemption certificate will be provided.

h. How long can I receive donations through Online Donation?

Your pledge page will be valid till 16th December 2011. Once the end date is reached, your page can only be viewed, but it will not be possible to donate on the page.

Disbursements for all donations raised from the Airtel Delhi Half Marathon 2011, will be done before March 31st 2012.
